Project Support Administrator, Otis, Dubai, UAE

The role holder is responsible for collecting, maintaining and distributing all documents necessary to ensure conformance to document archival requirements. The role holder is also responsible for maintaining a comprehensive filing system for all documents.  The role holder shall carry out his duties in accordance with the stipulated business policies and procedures.

Key Responsibilities

    Administers the document management system including processes like acquiring, cataloguing, preserving and accessing storage of project records and information.
    Compiles and maintains controlled records for the Department and vendors associated with various projects being undertaken by Otis.
    Determines and enforces document control needs for Otis to meet internal and external requirements.
    Manages storage and accessibility to crucial documents through modern, digital and technologically advanced processes, for easy storage and retrieval.
    Archives all project related documents for future references on projects.
    Maintains level of security and access control on controlled documents to prevent unauthorized access.
    Monitors the distribution of sensitive documents between departments and individuals in order to ensure a proper tracking mechanism.
    Conducts regular review audits to ensure information on all records is accurate and up to date.
    Ensures prevention of fraudulent documentation through routine checks.

Minimum Qualifications

    Associate degree in Business Administration/Management or equivalent
    Relevant certification such as DCC Certified Document Controller (CDC) or equivalent
    UAE Nationals Preferred

Successful candidates will need to:

The ideal candidate should have a strong track record in effective provision of counselling and guidance to students. While experience in the IB Diploma programmes is preferred, outstanding Career Counsellors from any curriculum background are encouraged to apply. Alignment with the IB philosophy and commitment to the Learner Profile values are crucial. Over 50% of our graduates attend universities in the UK, with the US, Canada, Europe and the UAE making up the majority of other destinations.

Candidate requirements:

    A genuine passion for working in a non-selective and culturally diverse community is also a key requirement.
    A certified professional qualification at degree level, such as BA, BS or equivalent specialism in Counselling
    A minimum of 4 years experience as a School/Career Counsellor, ideally within an IB curriculum school, however, this is not mandatory
    The experience, personality and educational philosophy to continue to drive the education agenda, catering for students from over 100 countries
    Aspiration to work in a world class school with significant opportunities for career development and advancement

GEMS Wellington International School, a mixed private school for children aged 3-18, is situated in the Al Sufouh area of Dubai and is owned and run by GEMS Education. Student numbers are over 2,800, around half of whom are British.

The school was established in 2005 and offers the National Curriculum of England from Foundation Stage to Year 11 and the International Baccalaureate Diploma Programme, courses and careers programme in Years 12 and 13. We are thus on the lookout for a colleague who can identify with Monjasa’s values and is capable of building strong relations both internally and externally.

As our new Trading Assistant, you will become part of our dynamic and ambitious Arabian Gulf (AG) trading team, located in Dubai, making a significant impact on our industry. You will ensure that the team can stay focused on driving the sales effort, logistics, cargo sourcing, and business activities by supporting administrative tasks and keeping information up-to-date in the system.

Therefore, your main responsibility is to ensure that the administrative backbone is always robust and to always keep process optimisation in mind.

Areas of focus

    Keep and maintain daily tracking of vessel movements
    Data quality maintenance e.g. vessel’s tracking, daily indications/prices
    Processing of sales and purchase orders
    Assisting on tender requirements
    Data entry into our IT system (NAV)
    Assist the Traders on ad hoc administrative tasks
    Ensure that all procedures and processes required are streamlined & optimised

Your professional skills

    Relevant administrative education
    Experience from a similar position e.g. as Sales Coordinator or Assistant
    Experience from the shipping industry is an advantage
    Experience with NAV is an advantage
    Proficient in Microsoft Office
    Fluent in both written and verbal English

Your personal skills

    Well-organized / structured approach to projects and tasks
    Supportive and service minded
    Detail-oriented with a high-quality focus
    Proactive and able to follow-up in a both positive and persistent manner
