About The Role

As an Administrative Assistant, Events you will support the Events Management team ensuring that all administrative requirements of the department are met. You will work closely with the Executive, Events on administrative related tasks, completing work of a high standard and in a timely manner.

About You

Ideally, we’d like you to have relevant Bachelor’s Degree with minimum of 5 years’ experience within Administration in a similar role. A sound knowledge of administrative processes, exceptional communication skills and excellent Microsoft Office knowledge is required. In addition to the above you should have strong organisational skills with the ability to maintain a high level of confidentiality

Job Purpose

Project Planning, Scheduling, Implementation, Progress Monitoring & Control on Engineering, Procurement and execution of entire Project. Responsible for all technical and commercial related issues for the entire project.

Mandatory Requirements

Experience in handling Power and Water projects as a Project Manager
Experience and ability in handling and managing vendors supplying Water Management Systems, Leak Detection Systems, Cyber security, Networking, Communications using SDH/MLPS/Radio, Field Instruments and Analyzers, UPS, Solar PV, Erection contractors, LVS, CCTV, etc..
Experience in handling Government Utility company projects for power and water

Key Responsibilities & Accountabilities

Reviewing the Customer Project Contractual, Technical, product Specification, and Standard requirements.
Project Management from Initiation, Planning, Execution and Control for the Project Success.
Processes include project integration, Scope, duration, Cost, Quality, Human Resources, Communication, Procurement Management process throughout the project life cycle.
Estimation and Planning of Manpower and Materials for entire Project.
Project scheduling and Progress Reporting.
Progress Billing and Contract Claim Management, Customer Meetings.
Reporting to the Engineering Division Manager and or Project Director on daily basis.
Review of Work Breakdown Structure, Bar chart Schedule, S-Curve, Manpower Histograms and Resource Allocation.
Guiding Lead Project Engineer and Lead System Engineer on technical and other Project related issues.
Review of Project Purchase Order Requests.
Coordination with vendors and subcontractors for technical and other issues for meeting the delivery schedule.
Preparation and review of Project Monthly Progress Report.
Attending the Customer Project Progress review meeting.
Project Progress Monitoring & Reporting. Project Costing and Co-ordination.
Preparation of Project Budget and Cost Control System. Arrangement of Resources.
Coordination with Customer Project Manager/Engineers for Commercial and technical issues.
Review and approval of Scope of Work deviations.
Prioritization of Project team activities based on customer and Management requirements.
Compilation and submission of Change Orders / Waivers / Concessions.
Preparation of Project Summary, Risk Register and updating on regular basis.
Management of resources as per the project schedule and milestones.

Qualification and Experience

A Degree in Engineering Field. Preferably in Instrumentation, Electronics or Electrical.
Minimum 15 years experience in the field of Project Management and Execution in Industrial Automation & controls.
ISO 9001 Quality Management System Awareness.
PMP Training and Certification (Preferable)

Competencies

Team Player.
Creating and Implementing Project Execution strategies which can achieve Company and Customer Targets.
Generation Strategies and implementation to improve project GP.
Project Design Engineering analysis and Improvement techniques.
Execution Strategies to Improve Project Planning, Improve Productivity and Product/Service Quality.

Knowledge of IT basics and Microsoft Applications.

The Position

As the Office/Showroom Assistant and Receptionist, you will serve as the primary point of contact for both employees and visitors, extending a warm welcome upon their arrival and providing guidance as needed in a courteous and professional manner. Your responsibilities will include supporting various office functions and assisting the Office Manager in ensuring smooth operations throughout the business with efficiency and punctuality.

Key Responsibilities
To maintain effective and efficient operations within the PVH Dubai Office, the responsibilities of this role include but are not limited to:

    Serving as the initial point of contact for all visitors and guests, offering a welcoming demeanor and directing them to appropriate departments.
    Upholding a personal and professional conduct that aligns with the brand's standards.
    Handling incoming calls, screening them as necessary, and redirecting to relevant departments.
    Managing calendars for meeting rooms and arranging catering when needed.
    Overseeing the ordering process and maintaining records of incoming and outgoing deliveries for PVH.
    Generating purchase orders and invoices for Office and HR, overseeing office and dry goods inventory, and reconciling cash receipts for PVH expenses.
    Ensuring compliance with health, safety, and security regulations during working hours and in emergency evacuations.
    Maintaining organized records for easy retrieval by relevant personnel.
    Coordinating inbound and outbound packages and deliveries.
    Promptly escalating any cleaning, maintenance, or IT issues.
    Providing general administrative support for all office functions when needed.
    Support the HR Team in liaising with Immigration Partner for all matters related to work permits, visas and cancellation.
    Supporting the Office Manager in coordinating various events such as Market Launches, Associates Events, and internal or external workshops/trainings.
    Serving as the onsite Fire Warden and First Aider.

The Ideal Candidate

    The ideal candidate will have 1-2 years of experience in Office Facilitating or Front of House roles.
    You'll need to be a proactive self-starter with a proven ability to work both independently and collaboratively within a team setting.
    A positive, can-do attitude, coupled with energy and enthusiasm, will be essential for success in this role.
    You should demonstrate self-motivation and a drive to excel.
     Strong organizational skills and attention to detail are a must.
    Excellent communication skills, both verbal and written, are required.
    You must be adept at managing multiple priorities and multitasking effectively.
