Job Purpose

Maintain a smooth efficient service that meets the expectations and needs of new and existing clients. Ensure all clients receive effective professional communication on their business implementation and after sales care. Obtain up to date information from the GROs and government departments. Encourage changes for internal processes to maximise service times and standards.

 

KEY RESPONSIBILITIES

Corporate Structuring

    Process UAE formations, deregistration’s, and liquidations as well as any related licence amendments in both onshore and free zone jurisdictions
    Monitoring a renewal schedule of free zone companies and liaises with the client on the procedures and requirements.
    Drafting and review incorporation forms and procedure summaries required towards the setup of UAE vehicles, amendments, license renewals, liquidations, and deregistration’s.
    Liaise with internal and external legal counsel to expedite the production of incorporation, amendment, deregistration, and liquidation documents.
    Arranging the issuance of extracts, certificates and other corporate documents and subsequently arranging the requisite attestation and legalization by the relevant authorities or consulates.
    Maintaining client entity records in line with operational procedures.
    Accountable for all important and secure client documents, their location and safety.

 

General Responsibilities

    Assist with enquiries and research as required, updating knowledge base where required.
    Liaise with GROs to analyse licence activity requirements, ensuring that all such information is accurate and recorded.
    Research industry related publications and announcements
    Protect organisation’s values by keeping information confidential.
    Managing the client’s requests, liaising directly with the clients, and keeping them updated on the transaction status.
    Building and maintaining relationships with clients.
    Working with company CRM and maintain information correctly.
    Liaise with other staff members effectively, to complete the assigned tasks.
    Advise and guide other staff members.
    Complete all general administration in a timely manner.
    Ensure that the department is compliant with ISO9001:2015 and other group policies/processes and initiatives.
    Attend weekly meetings with Team.
    Identify processes that need to be implemented or improved in the work management system (Boombirds).
    Create and manage all processes through work management system (Boombirds).
    Complete ad hoc special projects as and when required.


Qualifications and Experience

    Three years of relevant industry experience with UAE company set ups.
    IT competency (Microsoft Office)
    Excellent written and verbal English
    Educated at diploma or A level.

Description:

The Document Controller will support and involves working on projects associated with stormwater & drainage, flood alleviation, wastewater networks and water distribution networks. This will involve undertaking investigations, planning, designing, tendering, contract administration and construction monitoring.

Key accountabilities for this position include but are not limited to:

•\tAdministrative correspondence and filing:

\tRegistering all incoming and outgoing correspondences, MoMs, Drawings & technical submittals.

\tMaintaining a register of all incoming and outgoing mail, stamping, and recording of mail before circulating for distribution to the concerned staff.

\tResponsible for Control/Tracking/Issue of complete project documentation such as incoming and outgoing correspondence, site instructions, change orders, NFC, RFI, CVI, RFM, Letters, staff daily reports, submittals, and other forms of pertinent documents from the client and subcontractors (including Atkins internal documents).

\tResponsible for receiving, logging, distributing all technical documents, assisting in the coordination, and monitoring of administrative activities to facilitate and expedite the workflow.

\tMaintaining and archiving all files.

\tCoordination between other Consultants & Contractors for facilitating document workflow and ensuring document status is closed.

\tElectronic transmission of documents

\tData input to database related to document receiving & tracking document.

\tAssist Site office administration.

\tCoordination with the respective Resident Engineers, Secretaries, and other staff to ensure correctness of the records.

\tRegular periodic backup (electronic copy) of project documents

•\tProvides office employees with administrative support including, typing, filing, answering telephones, taking messages, maintaining appointment calendar, and other general office duties.

•\tAssist with the preparation of technical specifications, tendering and contract administration.

•\tEnsures that each project or project phase is properly invoiced in a timely manner and managed.

\tLiaison with teams working remotely from other parts of the world to facilitate the completion of tasks and projects.

\tGood communicator

•\tFollow safe work practices and adhere to company guidelines and policies for planning and executing work in a safe manner.

•\tComplete all work in line with Stantec Core Values and in accordance with the Stantec Quality Systems and Project Quality Procedures.

•\tOther duties as requested from time to time by the Resident Engineer.

Qualifications:

• Five (5) years' experience in document management system in an engineering or architectural firm.

• Graduate of Business or Secretarial Course.

• Experience in Infra and Water Recycle project is an advantage.

• Strong communication and organizational skills.

• Good English oral and writing skills.

• Analytical problem solving and organizational ability.

• Proven knowledge on document management, including all necessary software (MS Office)

The Role

Our clients operate in constantly evolving complex environments and seek advisors that can make a noticeable impact on their strategic agendas. A&M’s Corporate Finance team sits at the center of the client agenda advising on mergers & acquisitions, divestitures, privatizations, joint ventures portfolio optimization, capital structure, capital raising & capital markets, valuations.

We are looking for Analysts and Associates to join the team based in Dubai and Riyadh and drive its growth and penetration in our chosen industries, and work with the most demanding clients at the senior management level throughout the transaction lifecycle.

You will have the opportunity to build on your existing skills, learn new skills and sectoral expertise and leverage on your interest in key sectors. You will assist in growing our practice, and in winning and executing business with marquee clients across the corporate, sovereign capital, and private equity landscape in the GCC and broader region. You will be an important member of a fast-growing team and will help shape our culture and values.

The key elements of the role are:

Transaction origination and execution:

    Be a core part of the execution team for M&A mandates
    Be a core part of the origination team working across the pitching effort
    Be a keen multitasker in order to deliver on demanding timetables
    Work in close coordination with other teams of A&M within the region and internationally on both origination and execution

Transaction management:

    Along with the transaction team leader, take ownership of financial modelling and pricing with a focus of bringing real world insight to the analysis
    Support, in conjunction with other client advisors, all transactional documentation with a focus on transaction marketing materials
    Support the overall transaction process management (data room, other advisors, and coordination)
    Support in the preparation of valuation analyses, including public comparable, precedent transactions, discounted cashflow analysis, LBO/IRR analysis, etc.
    Monitoring news and developments in relation to targeted industries and client groups

The Requirements

You will be a high-energy individual and must like new challenges with true desire to grow professionally and personally.

We would expect the successful candidate to bring:

    A high-grade bachelor’s degree (or equivalent/higher) from an accredited top-tier university in business, economics, sciences or a similar discipline is essential;
    An MBA / CFA / CA / master’s degree from a top-tier university is preferable but not essential;
    Relevant experience in corporate finance and M&A would be essential at the Associate level
    Willingness to travel throughout the Middle East region;
    Demonstrated financial modelling skills and overall familiarity with Microsoft Office applications
    Ability to leverage technology to consistently deliver work in an effective and efficient manner, and
    Fluent business level English is essential, Arabic is preferable.
