Credit Supervisor, Four Points by Sheraton, Makkah, KSA

Check figures, postings, and documents for accuracy. Organize, secure, and maintain all files, records, cash and cash equivalents in accordance with policies and procedures. Record, store, access, and/or analyze computerized financial information. Classify, code, and summarize numerical and financial data to compile and keep financial records, using journals, ledgers, and/or computers. Prepare, maintain, audit, and distribute statistical, financial, accounting, auditing, or payroll reports and tables. Complete period-end closing procedures and reports as specified. Prepare, review, reconcile, and issue bills, invoices, and account statements according to company procedures. Follow-up and resolve past due accounts and vendor invoices until payment in full is received or resolved.

Coordinate tasks and work with other departments; serve as a departmental role model or mentor; assign and ensure work tasks are completed on time and that they meet appropriate quality standards. Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor. Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

Job Description:

Parsons is looking for an amazingly talented Document Controller to join our team!

POSITION OVERVIEW:

Responsibility for Parsons’s Document Controlling for Qiddiya Infrastructure Delivery Partner (QIDP). Responsible and accountable for ensuring that all work meets Qiddiya Investment Company (QIC) requirements in coordination with the works completed by other delivery partners. QIC is providing strategic direction for all partners in the three-way partnership with other delivery partners on a city-wide basis. Reports directly to the Document Control Manager.

SPECIFIC RESPONSIBILITIES:

Responsible for coordinating all departments in order to assure that all documents are kept in the right place, controlled access and easily identifiable.

Ensure that all documents are well checked and submitted on time prior to the documents’ submission due date

Maintain confidentiality around sensitive documentation.

Distribute program-related copies to internal teams

File documents in physical and digital records

Create templates for future use (if not available).

Retrieve files as requested by employees and clients

Manage the flow of documentation within the program

Make sure that all documents have no errors in file names, submissions, etc. prior to send to some departments if requested.

Assist in the preparation of procedure, system package for document controls.

Follow-up pending reviews, approval and response.

Maintain trackers and registers required by the project.

Performing other responsibilities associated with this position as may be appropriate.

Ensures adherence to all corporate, contractual, ethics and safety standards, policies, and procedures.

PREFERRED EDUCATION/EXPERIENCE:

Degree in Business Administration/Management or related discipline with minimum 4 years’ experience in mega construction projects, specifically strong experience across city-wide programs.

Advantageous to have extensive experience of significant third-party stakeholder management, including statutory authorities in obtaining consents, permits and permissions.

Strong communication skills in English.

SKILLS/COMPETENCIES:

Ability to enforce controlled processes and practices for the creation, review, modification, issuance, distribution and accessibility of documents.

Proven experience of working within complex construction environment.

Ability to work in and assist other team members. Ability to follow through. Ability to clearly deliver work instructions in a complex stakeholder environment.

Ability to work in a matrix organization (dual reporting). Ability to interact with an influence senior-level management. Ability to consult, motivate, and negotiate effectively with client groups, co-workers, employees, vendors, and contractors.

Must function effectively under time constraints, schedule workload to meet deadlines, and have the ability to prioritize.

Ability to manage and work in a team, deliver objectives and targets.

Strong Contractor Management skills.

Project Management Skills.

Well experience with MS Office and Aconex.

Job Description

The Contracts Administrator will be responsible for the administering contracts on projects including cost control, variation and claims management, and the determination of final accounts. Job Duties:

Responsible for all the contract administration activity for the projects assigned. Provision of contract management and administration activities for the assigned projects including the evaluation of the contractor against their obligations, evaluation of contractor’s claims and the provision of mitigation strategies to the Client, agreement of KPIs with the contractor, maintenance of appropriate records, and ensuring the contractor has the required bonding and insurance in place.

Review of all applications for payments (AFPs) and invoices from the contractors for completeness, accuracy, and compliance.

Production of written reports on the findings and the subsequent action to be taken by the Client.

Assessment of the validity of contractor’s requests for changes and variations of any kind, providing written recommendations to the Client regarding the appropriate action that should be taken.

In addition, assessments will need to be made of variations proposed by the Client, and management of the change process as appropriate.

Management of the preparation, submittal, review and settlement of the final accounts of the contractors.

Acts as AECOM’s representative for all day-to-day contract matters with the Client during the program execution.

Responsible for the internal commercial management and contract administration of the project for AECOM including but not limited to the identification, management, and agreement of variations and claims, and the resolution of contract disputes.

Preparation of the internal estimate at completion (EAC), and the provision of reports on earned value, progress against milestones, cash flow, and cost management.

Appropriate action is then taken to mitigate any issues as they arise, and opportunities are sought to improve the profitability of the project.
