UE Hotels Dubai Team as Office Manager, you will ensure smooth organisation and operation of the Dubai regional office by performing a full range of administrative and reporting tasks whilst supporting the short to long-term organisational planning. All of which shall be done by demonstrating a high level of performance and discretion towards sensitive matters.

This is a brand-new role and therefore one of the significant parts of the position will be the business start-up processes where you will play a key role in setting up the entire department in the regional office. You will be establishing and implementing standards and best practices for the whole admin team. The role will be reporting directly to the Global Head of Business Development.

ABOUT THE JOB

As an Office Manager you will be a key team member of the Dubai regional management team and will be required to provide effective linkage and support across all functions and business partners of TUI Blue Hotels

You will be a local expert in processes which in turn will support TUI Blue in meeting its internal and external administrative obligations. You will collaborate and assist with new recruits, departures, compliance, accidents and emergencies, reporting and assist with processing residence and work permits.

You will manage daily office operations, develops, oversees and communicates standard operating procedures and processes that streamline and provide guiding principles relevant to efficient office management.

You will work closely and manage diaries for the Global Head of Business Development and Regional Vice President -Sales and assist with calendar appointments and planning. You will ensure diaries are updated on regular basis

Meetings: planning and organizing meetings and supporting documentation., taking meetings minutes, distributing, and following up as relevant in an accurate and timely manner

Travel: organizing and finalising all travel arrangements (accommodation, transportation, visas) and preparing travel itineraries

Function as administrative link between the Head of Global Business Development and his business partners and ensure that all parties receive specific, relevant and concise information.

Work collaboratively with regional colleagues and seeks engagement and support from Group wide particularly within the HR team on specific matters where required.

Communicate continuously with HR team to ensure that all the actions regarding onboarding and off boarding staff is actioned in a timely manner.

Work with the regional leadership team to prioritise activities which add distinctive and commercial advantage to the organisation

Overall accountability with front desk ensuring that it is highly effective in representing and promoting the first impression of the TUI Blue Hotels brand

Preparing and drafting correspondence, presentations and reports as per direction and distributing as appropriate.

Responsible for office maintenance and facilities, arrangement of staff temporary accommodation.

You will provide support, manage and monitor housekeeping, office furniture and supplies as well as telephony activities.

Carry out any other duties as requested by the regional leadership team.

ABOUT YOU

Previous work experience in MEA region as an Office Manager/Personal Assistant

Agility to juggle strategic priorities/projects whilst delivering day-to-day operational logistics.

Exceptional administration/management skills, strong planning, organisation and technically savvy.

Can solve problems independently and/or make suggestions how to improve ways of working & drive our digital culture.

High level of attention to detail with the ability to manage multiple tasks and conflicting priorities without losing focus on planning ahead

A genuinely helpful, flexible and professional personality.

Excellent communication skills, both verbal and written, in English, plus french languages would be advantageous.

Start-ups, innovation and/or business transformation experience

Job Description

SCOPE:

Senior Cost Managers lead commissions of varying types and sizes, depending upon the complexity of the project. Our projects generally are of significant size and value.

MAIN PURPOSE OF ROLE:

To perform the role of the Commission Manager, taking responsibility for end to end service delivery.

To provide excellent service delivery to clients, gain their trust and enhance our reputation.

To ensure that client objectives are met through the delivery of an effective cost management service from pre contract to handover.

KEY ACCOUNTABILITIES:

Estimating and cost planning to include producing and presenting the final cost plan.

Production of full Bills of Quantities and tender documentation.

Tendering and procuring, including managing the pre-qualification stage, producing the tender list, preparing preambles and preliminaries, tender queries, tender analysis, producing the tender report and compiling the contractual documents.

Dealing effectively with post contract cost variances and the change control processes, where applicable.

Taking personal responsibility for making cost checks and carrying out valuations on larger projects and in all cases ensuring that timely and accurate cost checking and valuation takes place.

Producing pre-contract, post-contract and ad-hoc reports and presenting them to the client.

Negotiating with contractors and agreeing final accounts.

Interfacing with the client, contractors and other consultants, at all project stages.

Where appropriate, leading a cost management team, ensuring that they deliver on all of the above accountabilities.

Qualifications

KEY EXPERIENCE REQUIREMENTS:

Detailed knowledge of and experience in the real estate sector working for a professional cost consultancy.

Experience of pre-contract services from feasibility through to tendering, measurement of building works for estimating, report writing and preparation of Bills of Quantities and tender documentation.

Experience of different procurement methods, single stage, two stage and design and build preferred.

Experience of post-contract services, interim applications, change management, variation valuation and extension of time claims.

Detailed experience of working with standard form contracts, FIDIC preferred, and administration of contract procedures.

Demonstrable experience in client-facing roles, professional approach and confidence in presenting to clients, other consultants and project stakeholders.

Demonstrable experience in dealing with contractors personnel with confidence and assurance.

Report writing, Estimate reports, Cost reports, Procurement reports and Tender reports.

SKILLS REQUIRED:

Degree qualified in Quantity Surveying or similar.

MRICS.

Minimum 8 years’ experience in similar roles.

Good knowledge of construction industry technical matters, such as different procurement routes, value management and value engineering.

Knowledge of CostX preferred.

Knowledge of BIM preferred.

Skills and attributes for success

To qualify for the role you must have

Understanding and experience in delivering complex, large scale transformation projects

Ability to engage with key stakeholders at all levels and influence change and create buy-in and support

Ability to conduct and outline methodologies for quality assurance on projects

Clear stakeholder identification and support both in terms of expectations and execution

Ability to engage with senior program managers on program cost, quality, resourcing and timelines on expectations and delivery

Ideally, you’ll also have

Ability to manage ambiguity, and relationships between Global and local teams

Job description

The Senior Marketing Executive is a fixed-term contract position to support the Senior Marketing Manager to deliver marketing plans across Alserkal Initiatives: Alserkal Avenue, Alserkal Arts Foundation and Alserkal Advisory, as well as for key events. This role is responsible for ensuring that marketing plans are executed on time and on budget, alongside coordination between internal and external stakeholders. This position will support the always-on marketing function for the business units, including the coordination of digital marketing initiatives and press and PR support. This role will be the main point person for ensuring that content is shared on relevant channels in an effective and timely manner, and that the marketing campaigns set by the Senior Marketing Manager are implemented accordingly. Strong attention to detail, excellent communication skills and the ability to multi-task within a high-stress environment are crucial components of this position. The Senior Marketing Executive will work closely with the rest of the marketing team on the process from start to finish, ensuring that content on channels is engaging to audiences, on-brand and relevant.
