Engineering Assistant Operations Manager, NYU, Abu Dhabi, UAE

Position Summary

New York University Abu Dhabi (NYUAD) seeks to appoint an Engineering Assistant Operations Manager reporting to the Assistant Director, Dean's Office Administration.

 

The Assistant Operations Manager provides high level administrative support to the Dean’s Office Operations and supports both the Bioengineering and General Engineering programs on faculty finance, procurement and academic activities.

 

Training on all aspects of Engineering general and academic administration will be provided. As the Division’s research and academic activities grow in line with the University’s Academic Strategy and mission, there is potential to further develop this position to support the Dean’s Office and Division accordingly.

 

Key Responsibilities:

Dean’s Office Operations & Finance

  • Monitor and manage divisional budget to ensure expenditures remain within allocated
  • funding and providing quarterly reports to the ADE to enable executive decisions on
  • budget changes
  • Procurement using ePro and Purchase Card for the Engineering division
  • Ensure all faculty, researchers and staff are up to date with the purchasing policies of
  • the university
  • Manage space allocations for Engineering faculty, instructors and researchers in
  • collaboration with the Assistant Director
  • Manage divisional orientation and onboarding
  • Petty Cash custodian for the Engineering Division

 

Faculty Coordinator responsibilities include:

  • Administers faculty reimbursements, payment requests, payment releases etc
  • Maintains compliant financial records for budget and audit purposes including
  • tracking divisional and program budgets and expenses
  • Administers course evaluations and provides regular input and
  • recommendations on developing the process
  • Provides general faculty and operational support including conference and
  • business travel booking, transportation and trouble-shooting if required
  • Course offerings, divisional calendar and room allocations

 

As a member of the Dean’s Administrative Team, collective support includes the following areas:

  • Study Away in coordination with Global Education and also Engineering for
  • Social Impact
  • Accreditation coordination and management
  • Managing Capstone administration

Qualifications

Required Education:

  • Bachelor’s degree or five years work experience in a similar capacity

Required Experience:

  • 5+ years of experience in equivalent positions preferably in academia

Preferred Experience:

  • Administrative management and finance experience
  • Excellent communication skills
  • The ability to work independently and also as a team member
  • Excellent attention to detail
  • Ability to maintain confidentiality at all levels
  • Interpersonal skills
  • verbal and writing communication skills
  • Microsoft Office skills
  • Time management
  • travel logistics & knowledge of Arabic Language

Overview of the role:

  • Efficient handling of customer service while coordinating with Internal and External clients
  • ensure accuracy in BOE processing, certificate of origin, billing invoice, costing, posting of data entry in system
  • Ensure on time invoicing, edocs and job closing  
  • Ensure all clients rates are updated for internal and external customs and filed methodically

About the Team:

  • Reporting to the Business Sector Manager and will be responsible for effectively handling sea freight documentation (customs declarations & certificate of origins), handle regular types of freight forwarding jobs related to import & export, and liaise with all stakeholders to ensure efficient and timely sea freight operations procedures.

 

What equips you for the role:

  • Bachelor’s Degree
  • 2 years’ experience as Sea Freight Coordinator
  • Valid UAE driver’s license
  • Experience with sea freight business operations

Key Duties And Responsibilities 


Recruitment & Selection Process

-    Provide active support in the whole recruitment and selection process.
On boarding and Induction
-    Compiles the personal file for newly hired employee in accordance with the check list – to include, CV, Interview assessment, approved new hire form, police & security clearance check, reference checks, valid passport copy and employment visa copy, employment application form, medical history form, visa application form, medical insurance enrollment form;
-    Enters the new employee details on the HRIS system to initiate the ID no. for the colleague and process the ID card for the colleague for the time and attendance system.
HR and Administration support 
-    Provides assistance to all colleagues for any HR & Administration support for issuing of various letters to the banks, consulates, driving license, internet & tv connection, shoe issuance vouchers etc. and any other personal related issues.
-    Ensures all colleague personal information is kept strictly confidential.
-    Provides information to colleague on policies and procedures.
-    Be open and approachable to colleagues at any time during working hours.
-    Maintains and updates check lists and trackers – disciplinary tracker / passport issuance and return tracker (for D & E grade colleagues), air-ticket tracker / passport & visa expiry tracker / locker key issuance and return tracker / leave records tracker / lieu accruals tracker.
-    Conducts monthly audit of passports.
-    Ensures all personal files of colleagues are updated with the relevant information and documents are filed.
-    Communicates and coordinates all relevant information with other HR teams and HR Admin team.
-    Assists in organizing HR events and activities.
-    To perform any other duties required
Time & Attendance process & Payroll
-    Coordinates with the HOD and departmental coordinators to ensure the attendance is checked and updated on a daily basis for entering the rosters of the colleagues and any amendments required. 
Employment Visa Processing / Visa Cancellation
-    Coordinates with Visa Officer for processing of the employment visas for new hired staff by providing the required documentation for the visa application processing.
-    Coordinates with Visa Officer to ensure that the colleagues attend the visa medical test for new colleagues and renewal of visas for existing colleagues.
-    Coordinates with Visa Officer for renewal of the residence visas of colleagues by ensuring that the visa expiry dates are monitored two months in advance of the expiry date to ensure all the necessary documentation and procedure is completed and handed to the Visa Officer ahead of time to avoid any fines being imposed.
-    Coordinates with Visa Officer to ensure the passports are handed over and received for visa cancellations of the resigned / terminated colleagues and to ensure the procedure is followed for exit or change of status within the specified period mentioned on the visa cancellation form to avoid any fines being imposed.
Leave Management
-    Verifies and confirms leave balance / sick leave / lieu day records and update on the system and forward the relevant leave forms to the Payroll Manager.
Employee Separation
-    Prepares the End of Employment Service form.
-    Coordinates with the relevant department of the colleague to ensure any pending lieu days / hours forms are received for the final calculation of payment.
-    Coordinates the Exit Interview with the colleague.
-    Hand over the passport to the Visa Officer for completing the visa cancellation formalities
Food Handler Medical Check & Renewal 
-    Coordinate with Hygiene Coordinator and Visa Officer to ensure all food handler’s medical check-up and certificate obtaining is successfully completed within the designated period for all food handling new colleagues and yearly renewal.  
Insurance
-    Maintains and monitors Insurance Tracking Sheet to ensure all colleagues and their authorized dependents as per entitlement are enrolled under insurance scheme.
 

Skills, Experience & Educational Requirements


•    At least 3 years’ experience in a coordinator or secretarial role (desirable), preferably in a 5* Hotel within an HR environment
•    Computer literacy in Microsoft Office to include – Word / Excel / Powerpoint
•    Organized and disciplined, dedicated and loyal
•    Friendly, pleasant and easy to be around
•    Work effectively under pressure to meet deadlines
•    Expertise in written and spoken English
•    High level of  telephone skills
•    Willing to take personal responsibility for own performance

As a Support Professional you will be part of our Frontline Team based at Dubai, UAE. Responding on emails, license chats, phone calls and cases assigned to you, you will be the main support contact for all general inquiries, as well as technical cases.

Your responsibilities

Make every customer interaction a satisfying experience through a professional, outgoing, and personable attitude.
Resolve technical issues by applying advanced troubleshooting techniques and analysis.
Ensure that all relevant communication, documents, and files related to the case are accurately recorded in the support system.
Create and maintain a variety of self-help resources (KBs, how-to guides), monitor community forums.
First point of contact for basic/simple customer-facing issues, normally handled by the Partner.
Serve as liaison between the customer and the Technical Support team, escalating cases not within own skillsets up the support chain in a timely, and effective manner.
Provide timely and accurate status updates to customers, and relevant internal stakeholders.
Represent expectations, intentions, and attitudes of customers and co-workers accurately.
Continuous effort to acquire and maintain good knowledge of Milestone’s products as well as Support´s procedures, practices, and policies.
Professional qualifications

Bachelor's degree in Computer Science, Electronic Engineering, or equivalent experience.
Excellent English written and oral communication skills
Experience providing multichannel support, confident in providing support on the phone, and in public forums.
Experience with PC hardware and software installation, configuration, and troubleshooting.
2-3 Years of experience with Video Management Systems or Security industry preferred.
Knowledge of Microsoft AD user/group authentication  
Knowledge of Wireshark (or equivalent tool) 
Experience with Microsoft SQL Server, writing queries to fetch the data & resolve if any issue related to SQL, including making backups and monitoring general database health
Experience with enterprise-level data storage technologies including RAID, NAS, SAN, iSCSI, Fibre Channel
Good technical understanding and practical experience with Microsoft Windows Server operating systems
Knowledge on Networking Principles i.e., Switching, Routing, LAN, WAN etc.
Personal skills

Able to deal with conflicts in a constructive manner, and able to recover from dissatisfied-customer situations.
Must possess the ability to work independently with minimal supervision.
Ability to build and maintain effective relationships remotely and across teams.
Has good analytical problem-solving capabilities.
Open minded and able to share information with others in the Support team.
Collaborate effectively within the team.
Demonstrate an ability to take on increasingly challenging assignments with a 'can do' attitude and expecting a positive outcome.

Senior Ethics & Compliance Specialist, Mcdermott, Dubai, UAE

Job Overview:

As a member of McDermott’s global Sustainability & Governance team, support the Ethics & Compliance Business partners in transactional E&C matters pertaining to McDermott projects and operations

Reports to Ethics & Compliance Manager, Dubai

Liaise with Legal, Sustainability, Projects/Operations, Finance, Supply Chain, Internal Audit

Key Tasks and Responsibilities:

Promote integrity and a culture of compliance within the organization
Assist in the implementation of McDermott’s compliance program processes across assigned areas/functions
Perform comprehensive compliance risk assessments and due diligence on McDermott’s engagements with third-party intermediaries
Key participant in the whistleblower helpline process, including leading investigations as well as leading other investigators. Investigations management includes developing investigation plans, conducting interviews, analyzing processes and data, performing root cause analysis, and as applicable recommended actions
Manage annual compliance certification processes for employees and third parties within assigned areas/functions
Design and deliver compliance training and awareness campaigns, including face-to-face and virtual training 
Essential Qualifications and Education:

Relevant BA/BS or graduate degree
7-10 years of professional work experience
Compliance role and/or legal/audit background, preferably with a multinational corporation
Solid knowledge of key compliance regulations such as the US FCPA, the UKBA, GDPR
GDPR knowledge/experience is an advantage
Excellent teamwork and collaboration skills 
Good communication and presentation skills, both written and spoken 
Ability to interact with all levels of the organization
Flexibility to work across time zones, primarily within the Eastern Hemisphere
Experience in investigation of noncompliance of ethical standards / company code
Organized, analytical, an innovative problem solver
Solid time management skill with the ability to multitask
Fluent English language skills required

The position is based in Dubai or London; relocation not provided
