Staff Travel Agent, Etihad Airways, Abu Dhabi, UAE

Synopsis

Liaise with Etihad staff to provide a consistently high quality and effective service when employees are using the travel benefits afforded to them. Ensure corporate policies and procedures are followed and deliver a cost-effective solution for duty and annual leave travel.

Accountabilities

  • Serve Etihad & Other Airline employees through phone calls and emails. Understand their requirements and match these with available options from the Staff Travel Policies
  • Understand and explain the Staff Travel & Duty Travel Policy including its operational implementation and interpretation.  
  • Ensure all booking and ticketing requests are processed quickly and accurately
  • Process requests made for Offline Annual Leave Tickets using knowledge to decide the most effective routing taking into consideration the total journey time and the cost to the company
  • Liaise with key departments such as Human Resources, Revenue Management & Finance to ensure employee satisfaction within Policy
  • Proactively search for solutions during busy periods for employees travelling on ALT & Duty using Etihad’s network and the Interline Agreements available
  • Maintain the integrity of Etihad by ensuring all documents are issued within Corporate Policy and confidential personal data is retained and not shared

Education & Experience

  • College Diploma in general education or transportation studies.
  • Other airline or travel industry certifications and diplomas are a plus (IATA etc.).
  • Minimum 3 years of experience in reservations & ticketing or customer service.

Job summary
Prioritize and continually improve safety at delivery station. Delivery Stations work smart & continually delight our valued customers with their products. Manage operation activities, delivering best in class service to its customers by managing an efficient operation and ensuring timely, accurate and cost effective delivery of customer shipments. Directly supervise logistics assistants, coordinators & couriers to ensure that every shipment is delivered within SLA.

BASIC QUALIFICATIONS

Graduate in commerce / business
Demonstrate leadership skills
Direct management experience for agency workforce in operations / logistics, manufacturing, engineering, production or distribution environment
Experience with planning, performance metrics, process improvement
Experience with the full staffing life cycle, including interviewing, hiring, performance management, and terminations
Strong analytical capability; track record of deep dive into data and finding solutions for a variety of operational problems
Flexibility to work a variety of hours as business demands, including overnight, weekends and holidays
Excellent communication skills
Experience managing third party resources
Experience managing contingent workforce in a business with peak season

PREFERRED QUALIFICATIONS

Bachelor's degree or equivalent work experience
Experience is delivery station
Diploma in related field

What you will be doing:

  • Under the guidance and supervision of the Front Office Manager and/or the Night Manager, and within the limits of the established Accor standards. his/her responsibilities are to ensure all guests are given a personalized warm, friendly, courteous and efficient service and to ensure all aspects of the department are handled efficiently and effectively.
  • To use discretion and tact when dealing with guest enquiries, problems or complaints in an efficient and professional manner without detriment to the Hotel and/or its reputation.
  • He/she recognizes arising guest problems and complaints early enough to satisfy the guest as early as possible to reach the target of “zero complaints”.
  • He/she is responsible for supervising operations according to Hotel standards in order to ensure guest satisfaction under the control of the Front Office Manager in the accomplishment of their objectives.

Key Objectives:

  • Prepare for daily arrivals in terms of room allocation, amenities and special requests of guests.
  • Responsible for extracting VIPs’ detailed information, preferences and habits before arrival, and share this information with relevant departments to create a personalized welcome.
  • Liaise with VIP parties, special attention guests, ensuring that accommodation is in order, inspecting where necessary, greet, escort and contact when possible upon arrival.
  • Liaise with key departments (Housekeeping, Food & Beverage, Reservations and Sales) to ensure a smooth stay from arrival until departure.
  • Ensure VIP rooms are ready, checked and all in order prior to arrival.
  • Ensure daily courteous calls to VIP rooms, so too with other guests.
  • Attend all management meetings and briefings as required.
  • Thorough knowledge of emergency procedures and general crisis situation procedures.
  • Engage colleagues through active leadership, timely action planning, consistent communication, and meaningful recognition
  • Train and develop the team in order to achieve monthly targets.
  •  Ensure that all guest issues/complaints receive prompt action and follow up and are communicated effectively to all relevant areas.

Your experience and skills include:

  • Minimum of 3 years’ experience in 5 star hotels
  • Excellent communication skills, both written and verbal required.
  • Strong interpersonal and problem solving abilities.
  • Ability to lead by example.
