The role of the Executive Assistant is to provide executive planning and administrative support to the  Managing Director of the Middle East region. You would be the primary point of contact for internal and external stakeholders and serve as a liaison to various stakeholders including customers, partners as well as senior management including board level. You will organize and coordinate executive meetings and content, external relations efforts and oversee special projects.

Executive-level administrative support 

  • Business steering with regards to planning, administration, reports or organization of meeting / minutes.
  • Support and lead Company Activities (townhalls, kick-off meetings or other type of events),
  • Documentation support, including preparation of meeting agendas, briefings, correspondences and PowerPoint presentations:
  • Manage the calendar by arranging internal and external meetings and filtering appointments as required:
  • Organize/coordinate meeting schedule. Prepare necessary documents for the meetings/events,
  • Travel and accommodation arrangements: Book hotels, flights, transportations, travel application and claim expenses.
  • Receive and arrange external and internal visitors.

Your Profile:

  • Bachelor’s degree or equivalent experience with international exposure. 
  • Extensive experience in an Executive Assistant position. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Should be able to work flexible hours as the role involves coordination across multiple time zones.
  • To have highly competent IT skills across standard Microsoft packages; proficiency in Windows, including MS Word, EXCEL and PowerPoint and ability to learn new tools.
  • Must have high proficiency in English.

  • A self-starter, capable of acting on own initiative and proactively managing competing demands and pressures and able to multi-task effectively,
  • Excellent interpersonal, diplomatic, oral and written communication skills and have strong attention to detail.
  • Well placed sense of judgement, able to exercise absolute discretion and confidentiality,

  • To be able to work with versatility, meeting unexpected, very tight deadlines on occasion, being able to prioritize as required and able to work autonomously.
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Excellent time-management and problem-solving skills.

About the position:

 

  • Develop process flow charts to explain current and desired process.
  • Conduct time and motion study and analyze it at both Macro and Micro level and develop process improvement proposal.
  • Implement Kaizen action to improve quality of services, generate productive time, cost reduction, NPS (Net Promoter Score), Job explanation to customers, Sales / Aftersales SOP (Standard Operating Procedure) penetration
  • Advanced problem solving by Toyota Production system approach, process with time management in branch
  • Organize small group activities to provide training to associates and gather their feedback.
  • Compilation & creation of reports to visual status of activities on weekly basis and monthly basis within branches

 


About you:

 

  • Bachelor’s Degree   
  • 3 – 5 years (Preferably, in After Sales as Service Adviser)
  • Preference Toyota Kaizen programmes
  • Learn new programmes and implement 
  • Maintain fair, consistent set of standards 
  • Ability adjust priorities and structure time wisely in a fast-paced environment

 Position Summary

The successful applicant be will In-charge of warranty operations for assigned countries

Role and Responsibilities

  • Warranty Claims Management

  • Monitor and manage Warranty Claim holding ratio

  • Ensure that all warranty claims comply with Samsung Warranty Policy

  • Maintain warranty provision as defined by HQ on monthly/ quarterly basis

  • Monitor and control use of Special Codes

  • Make sure bi-monthly closing is done on time and all ASCs are being informed to initiate Invoice within a week for both closings

  • Make sure claim amount is paid within 30 days from Invoice date by SGE

  • Update master data whenever there is a change in suggested by HQ/ new agreement have been signed

  • Make sure there is absolute no gap between claim amount/ master data and agreement with ASC

  • Plan and conduct annual/ routine audits at suspected ASCs to identify gaps between claims and actual operations, document the issues and make counterplans to improve the situation

  • Prepare warranty training manual and arrange annual warranty workshop to train all the warranty coordinators of partners for healthy warranty operations

  • Maintain Service pack/ special service agreements with customers and provide relevant information pertaining to its utilization on monthly/ routine basis

Job Description

The Billing & Collections Supervisor is primarily responsible for invoicing and managing the collections of accounts receivables from our client base for NOV Tanajib Kuwait (a KDIPA Licensed company). The position also requires the coordination of all other aspects of invoicing, collections, resolving customer billing / collections problems and reducing accounts receivables and DSO’s. This position will report to the NOV Tanajib Kuwait General Manager.

Responsibilities:

  • Must ensure that company policies and procedures are being enforced and adhered to at all times
  • Provide day to day supervision of employee job execution
  • Maintain relationships and work closely with all customers as per NOV guidelines
  • Review and ensure accurate preparation of appropriate documentation for all billing / invoicing compliance
  • Supervise the DSO / DIR
  • Trains new staff
  • Negotiate customer payment plans and follow up
  • Conduct a variety of related reports
  • Resolves customers questions and complaints regarding invoices and payments
  • Invoicing / billing
  • Collecting and Visiting Customers
  • Load invoices on customer websites as required
  • Perform additional duties as assigned by management

Experience and Skills:
- Preferred minimum of 3 years of billing and collections experience including interaction with large customers and key stakeholders.
- Strong communication, problem-solving and analytical skills required.
- Ability to work independently and to adapt to a fast-changing environment.
- Must be proficient in Microsoft Office, specifically Excel and Word.
- Experience using company ERP systems, preferably JD Edwards and Oracle.
- Experience in Oil and Gas industry is preferred but not essential.
- Must have attention to detail with an eye for accuracy.
- Creative, self-disciplined and capable of identifying and completing critical tasks independently and with a sense of urgency.
- Must be self-motivated and proactive with the ability to work effectively with other business departments.
- Strong analytical skills and ability to meet processing deadlines.

Qualification Requirements:
- Degree level qualification preferred but not essential.
- Minimum of High School Diploma required, plus minimum of 3 years’ experience in the field of billing, accounts receivables, collections and payment solutions.
