 Job Description

Our client, a well-known medical center is currently recruiting for Receptionist to be based in Dubai.

Your responsibilities would include but are not limited to:

Reporting to: Head of Marketing & Reception.

As a Call Center Agent

• Attend customer enquiries through inbound calls
• Document the call details in the software along with a summary of the query
• Assist customers for call back requests received through emails
• Assist customers in booking appointments, when they fail to do it online through the website and educating them about the loyalty program
• Answer queries on redemption, point upgrades, offers, etc.
• Ensure patients' details are updated in the relevant databases as and when requested
• Act as a first point contact for complaint management.
• Follow up on customer complaints/ feedback

As a Receptionist

• Answers phone call in a polite and cordial manner. Maintains proper telephone etiquette.
• Handling patient complaints and address it to the concerned Clinic/Unit Manager, Supervisor in timely manner without delay. Maintain complete knowledge at all times of all hospital features /services/price/packages and hours of operations.
• Ensure that the place of work and surrounding area is kept clean & organized always.
• Reports equipment failure, safety, and security issues to Patient Care Coordinator.
• Remains professional always and does not involve in any out of departments discussion regarding policies, data and information obtained within the department and as part of assigned duties.
• Accepts additional duties, within the scope of practice in periods of higher workload.
• Use own initiative and perform duties and tasks within assigned period, due dates and in the required format.
• Actively participates in all quality and performance improvement activities within the department and the hospital as per the Performance Improvement and Patient Safety Program.
• Proactively assists and fulfill any tasks given by the Marketing Head.

Requirements


• Minimum of 2 years’ experience in the given field
• Proven work experience as a Receptionist, Front Office Representative, or similar role
• Proficiency in Microsoft Office Suite
• Hands-on experience with office equipment (e.g., fax machines and printers)
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude

Position Summary

Responsible for supporting the Senior Finance team on accomplishing the responsibilities of the accounts department including various general accounting tasks and financial reporting.

Key Responsibilities

    Assist in maintaining accounts payables and receivables
    Prepare journal entries, keep the balance sheets up to date and assist with monthly account closings
    Perform the bank reconciliations and prepare necessary material for audit purposes
    Ensure that accounting transactions are booked accurately in accordance with Professional Codes of Practice, Accounting Standards and Service Level agreements
    Receive and verify the accuracy of invoices and book them in accounting systems
    Prepare and record inter-company debit and credit notes
    Reconcile the inter-company accounts
    Prepare the company fixed assets register
    Manage effectively supplier’s payments and Accounts Payable accounts
    Ensure the Implementation of Accounting policies and procedures
    Assist the Chief Accountant in preparing Accounts payable Reports
    Process on time supplier’s invoices and payments

Skills/Experience:

    Degree in Accounting/ Finance
    Experience in Accounts Payable & Accounts Receivable function is mandatory
    2 to 3 years of experience working with reputed organization (preferably in the UAE)
    Working knowledge of any ERP; Oracle E-Business Suite R12 is an advantage
    Hands on experience in insurance, bank guarantees and letter of credit
    Knowledge of WPS system and payroll accounting
