The opportunity

Project: High quality procurement and supply chain management (SCM) is a key differentiator for the Mace operate service delivery model. The post holder will take a responsibility for growing and delivering Mace’s value to our Client base in globally, ensuring professional procurement and SCM processes are always followed and that our relationships are underpinned by sound commercial principles, demonstrating best value and resourcefulness.

The ideal candidate will present a flexible and agile approach to service delivery, manage change effectively, build relationships with stakeholders and drive the business improvement process.  The role will be based in the Middle East region.

Your responsibilities will include:

    Liaising with other gateway owners to progress health and safety and finance teams.

    Being responsible for contract compliance and contract register.  

    Transitioning supply chain providers effectively to desired commercials and terms.

    Managing platforms such as PowerBi & share point team portal.

    Driving vendor savings and strategic efficiencies within the supply chain, focusing on economies of scale and scope and innovation.

    Working closely with the senior procurement, operations and commercial managers.

    Monitoring the team inbox and acting as a point of contact for general enquiries and escalations.

    Monitoring, reviewing and reporting supplier performance statistics.

    Facilitating tenders, negotiations, benchmarking, service analysis and vendor engagement.

    Creating and delivering strategic supply chain management plans to identify and deliver value improvement for the client.

    Leading supplier sourcing and selection providing a depth of information to allow teams to be confident in the selection process.

    Providing data collection and audit assurance of compliance to KPIs.

    Maintaining and supporting the master scope ‘cost and frequency’ file.

    Assisting the operational team with communication of potential changes in the market place including statutory.

    Being able to present both to clients and the senior management team.

    Managing the supply chain risk and improve sustainability, social value and supplier diversity.

 Overview / Responsibilities

Wood is currently looking for Supply Chain Specialist to support our projects in Singapore/Israel. This position will be fully based in Abu Dhabi office in 6 months contract, with potential to become a permanent role.

 

    Accountable for the successful delivery of all supply chain activities that they are responsible for.
    Responsible for the end to end sourcing process (Strategy through Close Out) for the medium risk procurement/subcontract packages assigned to them.
    Ensures all supply chain activities are carried out in accordance with the project execution plan/schedule and/or contracting strategy, within approved budgets and in line with project processes and procedures.
    Update the project / procurement status report (PSR) in line with project / client required on site dates and current / estimate lead times, notifying any delays to the supply chain lead.
    Attend regular PSR meetings with client, engineering and/or project management personnel to ensure dates for pre-order deliverables within their portfolio are being maintained.
    Provides guidance, direction and support to all relevant stakeholders on both Woods and the suppliers specific contractual obligations and responsibilities.
    Utilisation of Wood Approved Supplier Register (ASR) supplemented when required by project/client approved supplier registers for supplier evaluation, audit, and selection.
    Carry out Supplier performance reviews and ongoing management ensuring corrective actions are taken where required.
    Ensure that all statutory and legal requirements and procedures are complied with and all actions are fully auditable.
    Promote safe working practices and demonstrate safety awareness at all times.
    Understands and lives Woods vision, values and behaviours.
    Understands and works to the Wood Financial Management Framework

Skills / Qualifications

Qualifications:

Educated to ISCED Level 6 (bachelor’s degree or Equivalent) in business related discipline, ideally supply chain or procurement, working towards or CIPS qualified

 

Knowledge, skills and experience:

    Record of skills training appropriate for job specific role.
    Minimum of 5 years SC experience demonstrating results.
    Broad knowledge of Suppliers, commercial Evaluations, Negotiations and Terms and Conditions of Purchase/Contract.
    Subcontract Agreements and Framework Agreements
    Industry forms of Subcontract
    ERP systems
    Client contract requirements
    Supply Chain Principles and techniques

Experience of:

    Commercial Evaluations, negotiations and terms and condition qualification
    Supplier Relationship Management

Summary

Monitors and replenishes all medical and general stock items ensuring that re-order process is carried-out on a timely manner. Expedites the Items reaching safety level, and alternates products/brands are professionally evaluated/accepted to avoid critical stock situations
Essential Responsibilities and Duties

1.Reviews re-order point report with amalgamated stock levels and analyse quantities to be ordered for each KFSH&RC (Gen. Org.) sites with assurance that necessary requisition(s) for standard or planned orders are timely processed.

2.Monitors Safety-Zero Stock Reports and follow-up with expediting staff of Purchasing Services, also, maintains records of all end-users information about the critical items.

3.Coordinates with end-users for the availability of alternate brand/source, maximize the purchase through National Unified Procurement Medical Supplies Company (NUPCO), Gulf Cooperation Council (GCC) or long term agreement.

4.Arranges exchange/loan from other organizations under Hospital Sharing Programme and maintain useful business relations with counterparts in other hospital to overcome any critical situation.

5.Ensures that KFSHRC (Gen. Org.) Short-Dated and consumption Item reports are regularly reviewed and corrective measures are judicially taken i.e. reports problematic items to end-users, report excess/short dated items through Hospital Sharing Programme and suppliers.

6.Liaises planning and inventory functions between all KFSHRC (Gen. Org.) sites to ensure the uninterrupted availability of supplies with minimum wastage.

7.Leads the preparation of forecasts changes and inventory calculation techniques/methodologies.

8.Ensures that the Item Organization Windows in the system are regularly updated.

9.Coordinates with Receiving/Warehousing to accept/reject items after precise review of on-hand stock and quantity being delivered.

10.Assists/coordinates with requesting departments and gathering the item related information i.e. usage/affecting items/completion of documents, etc.

11.Assists to conduct the physical inventory and accomplish the tasks assigned.

12.Follows-up items under Return/Disposal sub-inventories and replacement of items by suppliers with Manager, Inventory Control to ensure subject transaction is completed on real time basis.

13.Evaluates performance of subordinates and makes recommendations for promotions and disciplinary actions. Counsels employees and provides training and assistance in employee development.

14.Follows all KFSHRC (Gen. Org.) related policies and procedures.

15.Participates in self and other’s education, training and development, as applicable.

16.Performs any other related duties as assigned.

Education

Master’ or Bachelor’s Degree in Supply Chain Management, Business Administration or other related discipline is required.
Experience Required

Five (5) years of related experience including two (2) years in a supervisory capacity with Master’s Degree or seven (7) years with Bachelor’s Degree is required.

Roles & Responsibilities

    Builds successful confidence and relationship with both the MRO and the Airline,
    Reports to and supports the on-site Thales Service Delivery Director,
    Measures the Repair Shop and Supply Chain Performance and contributes to provide progress feedback to the highest level of the MRO/Airline organization,
    Shares Thales expertise with the local MRO (Lean practices, forecasting, continuous improvement plans…),
    Proposes improvement initiatives and supports their deployment
    Ensures the identification of issues encountered, sets up corrective action plans and ensure their follow up in close coordination with the Thales AGS teams,
    Ensures regular reporting and implements Key Performance Indicators,
    Manages and coordinates regular follow up meetings and reviews with the MRO,
    Works in close coordination with the on-site Thales project team, especially the IFE Maintenance Operations Expert to forecast and secure the necessary Spares part required for the Base/Line Maintenance activities,
    Works in close coordination with the Thales Technical Support teams (Customer Support Manager and Field Support Engineers) and Data Scientist (KPI, forecast…),

Work Experience Requirements

    Minimum 10 years of experience in a Supply Chain and/or Industrial position, ideally in the Aviation industry,
    Experience in deploying Continuous Improvement methodologies with proven results,
    Knowledge of electronic and troubleshooting,
    Experience in using an ERP system (SAP, …),
    Proven experience in dealing with Customers and/or Suppliers,
    Proven impact on Customer Satisfaction improvement in a previous role,
    Active listening and building trust across cultures and diversity.

Qualification, Certification & Educational Requirements

    Master degree in Engineering and/or relevant qualification in Supply Chain/Repair Shop Management,
    Knowledge of aviation regulations (EASA part 145 / GACAR),
    Technical knowledge of InFlight Entertainment and/or Avionics systems is a key advantage,
    Lean Six Sigma Green or Black Belt,
    Excellent oral and written skills in English. Arabic would be a plus.

About the Role

The selected individual will get the chance to work as part of an existing team that is focused on supporting Saudi Arabia’s Vision 2030.  The individual will learn how one of the largest defence companies in the world aims to achieve this through developing and transferring capability into Saudi Arabia through its Industrial Participation programs.  The role involves supporting US colleagues in achieving their goals through the identification and assessment of potential in Kingdom supply chain partners.
