Job Purpose

The purpose of the job is to support logistic manager in coordinating all logistics and dispatch activities in Oman. Ensure that dispatches are made on time by having close internal coordination with operations team, customer order service team and external customers.  The responsibility also includes implementation of safe operation of equipment, training of staff and stock management.


Main objectives are:


Timely Issuance of Daily Dispatch Plan

On time Dispatches

Stock Management/Inventory Control

Complete & Error free Documentation (Invoicing)

Overtime management

Key Accountabilities

Ensure that all warehouse activities are executed in line with AkzoNobel HSE policies with relation to equipment, racking system, and storage

Responsible for making sure that the physical stock matches system stock. Supervise process and reporting of warehouse status.

Supervise pick and delivery notes for dispatches if needed and liaise with warehouse staff

Verify invoices, debit / credit notes and other relevant information

Optimize vehicle capacity, load consolidation, and route planning as per capacity and requirement and availability of stock

Coordination to be done with transport companies in case of non-availability of the existing trucks

Support logistics manager in managing the logistics of third party lease locations    

Develop and initiate monthly reports having required project timelines, corporate metrics and productivity measurements.

Plan and arrange logistics required shipments & ensure to process orders and on-time delivery.

Support simplification and standardization of processes to accelerate logistics and enhance efficiencies.

 

Experience

Bachelor’s degree in logistics or supply chain or equivalent experience

Relevant work experience

English language proficiency is a must (both verbal & written). Arabic/Urdu/Hindi is preferred

Knowledge of Microsoft Office applications, such as Excel, Word and PowerPoint

About You


You will manage the Inventory Department of the IKEA store and support the sales departments.  Maintain consistent stock balances by adhering to strict inventory control procedures.  The job holder is responsible to monitor system processes and operating procedures ensuring smooth data flow, sales space capacities, recovery and physical movement of stock.

Responsibilities:


Operational

•    Maintain consistent stock balances by adhering to strict inventory control procedures.

•    Reviews and upgrades inventory procedures as per the group policy and recommending it to the management and group audit for review.

•    Manage daily routines to ensure store In Shape as new everyday.

•    Work with Range to plan Sales and Store capacities

•    Be responsible for coordinating annual and perpetual inventories for the store.  

•    Analyzes stock deviation and discrepancies ascertaining a tolerance level for shrinkage. 

•    Designates the task of updating stock files to Inventory Assistant.

•    Obtain and coordinate store requirements, to liaise efficient opening/closure of the store, deal with customer guidance and complaints and supervise all operating departments

•    Review and monitor daily and monthly Key Performance Indicators (KPIs) and analysis reports on various measurable factors against benchmarked figures (e.g. reports relating to delivery accuracy, shrinkage, discontinued and sales lists, stock levels, stock ageing,   etc.).  

•    Analyzes variances, explores problem areas and utilizes them for continuous improvement and appropriate recommendations



Commercial


•    Work together with the Logistics, Sales, Communication and Interior Design teams on sales space optimization and regular replenishments through the analysis of stock movements. 

•     The job holder is responsible for overstock and concrete articles.

•    Acts as an interface between the Retail Warehouse and the Store to secure all administrative routines influencing the stock balance are maintained consistently. 

•    Secure routines maintaining the Basic Data Quality and efficient ordering which support lowest possible cost to strengthen IKEA’s position as the best home furnishing store in local market.

•    Health and Safety requirements for loading and unloading trucks.

•    Support regional requirements.

•    Plan space capacity for peak trade.

•    Concrete and slow sellers to be pushed through with Trinity


Financial

•    Be responsible for the annual Operational Review for the Supply Chain and Logistics Consultants.  

•    Periodically meets with the AF Group audit team for the assessment and validation of the inventory process of IKEA which includes the existing procedures, business application, documentation and final approvals of stock shrinkages after stock take.


People Management & Development 


•    Supervise the Inventory Control team to ensure highest level of work efficiency, and control operational costs.  

•    Ascertain adequate training and development initiatives to secure quality performance and succession needs.

Mission/core purpose of the job The Supply Chain Manager will be an integral part of Oman Executive team with joint responsibility for managing Supply Chain and logistics strategy and operations in order to maximize the process efficiency and productivity through Business Excellence process improvement approach. Strategic & Operational Delivery:


Proactively manage the Purchase to Pay Process

To pro-actively work with the cross-functional teams to identify major procurement opportunities and deliver a series of quick wins that will enhance profitability within the company.

To establish, harmonise and maintain appropriate formalised purchasing policies, compliance and procedures for the company.

To develop a suitable database and protocol for ongoing supplier management including the ongoing creation, rationalisation and management of "preferred suppliers", along with a clear contractor key contract information (E.g. Contract sum, length of term, annual increases, break-clauses etc.)

To effectively engage with departmental budget holders about the value of robust procurement process and ensure adequate internal training, processes are understood.

To introduce a formal ongoing tendering process that will be used from time to time when need be.

To work with the departments and negotiate contractual arrangements with suppliers to ensure excellent service levels is maintained and optimised across all categories of expenditure.

To ensure that contracts are completed for all relevant agreements and that Service Level Agreements have been agreed with the relevant department or budget owner(s)

Ensure all agreements include provisions on Health and Safety issues or policies, ethics and compliance, supplier code of conducts, any relevant our Oman policy and procedures as well as clear penalty payments for noncompliance of service delivery.

To undertake an initial review of the existing procurement process and then implement continuous amendments that ensure that costs are monitored, reviewed, and controlled with the budgetary constraints and in line with our Oman's procedures.

To lead supplier negotiations, recommend supplier selection and implement contracts designed to encourage continual improvement.

To support the company in its endeavours to monitor suppliers' performance in line with KPIs, contractual obligations and service level agreements.

The Supply Specialist will perform duties related to the receipt, inspection, storage, inventory and issue of all material, consumables, expendables, tools and equipment and modification kits required for the Qatar Patriot Depot Operations.


The Supply Specialist will provide day-to-day execution and oversight of all logistical support tasks for the Qatar Patriot Depot Operations. Other specific duties include establishing and maintaining stock records and other documents such as inventory, materiel control, and account and supply reports. The Supply Specialist establishes and maintains automated and manual accounting records, posts receipts and turn-ins; reviews and verifies quantities received against bills of lading, contracts, purchase requests, and shipping documents; unloads, unpacks, visually inspects, counts, segregates, palletizes and stores incoming supplies and equipment; maintains a stock locator system and administers document control procedures; packs, crates, stencils, weighs and bands equipment and supplies for storage or shipment; assembles bins, shelving and other storage aids; and operates material handling equipment (MHE).


Must observe and follow all safety rules and procedures, including wearing required personal safety equipment. Perform other duties and activities as directed.


Basic Qualifications:


•A graduate of the Unit Supply Specialist (MOS 92Y) course or a graduate of a technical school or similar course of instruction or comparable experience

•Minimum of two (2) years experience with duties involving request, receipt, storage, inventory, issue, and accountability

•Minimum of one (1) year experience with the Automated Logistics Control System (ALCS) or similar Computerized Maintenance Management System (CMMS) software suite to include set up of job plans, tool storage, consumable & repair part storage, and reporting

•Excellent verbal and written communication skills


Desired Skills:


•Demonstrated basic knowledge of the Patriot Depot operations, modification, and system integration process

•Demonstrated experience with Contractor Logistics Support

•Demonstrated experience with environmental program compliance

•Strong interpersonal skills with special focus on achieving active participation of appropriate individuals across the business

•Proficient with Microsoft Office

•Previous experience in International Patriot FMS Programs

•Experience living and working in an overseas location

•Raytheon Six Sigma Certified


Required Education:

•Requires advanced knowledge of job area. Bachelor’s degree in Electrical Engineering or Applied Science with 8 years related experience. May substitute experience for education. (i.e., Associates degree with 12 years of related experience, or High School graduate with 16 years of related experience
