Purpose & Overall Relevance for the Organisation:

To provide administrative support to the Managing Director MENA whilst supporting key marketing processes and administrative functions to ensure efficient management and smooth running of the function on a day to day level.


 Key Responsibilities:

Take charge of all kind of correspondence independently, to ensure timely and accurate response.

Calendar management - prioritize meeting invitations and make sure all appointments are in line with the times.

Support assigned Senior Management team members in coordination of travel, events & summits. Plan & coordinate all travel arrangements (visas, airline/hotel reservations & expense reports).

Complete travel expense reports.

Drive, coordinate and support specific administrative projects and assignments under the direction of the VP / Senior Director.

Schedule internal and external meetings / conferences.

Plan and organize all team events, meetings, summits, workshops.

Document management - preparation of reports / presentations / correspondence, coordination of documents for signature and filing as requested.  

Maintain and update department files, records, (organizational) charts and publications

Maintain vacation overview for the team.

Create presentations.

Take over administrative and coordinative tasks of department members as requested.

Check and correct problems in existing systems and processes that are not immediately evident.

Support team as well as management.

Support Office Reception team on ad-hoc basis.

Requisite Education and Experience / Minimum Qualifications:

University Degree or Certification in Business with Marketing being a subject of preference.

Minimum 3 years year experience in supporting senior management in any admin/co-ordination function ideally within (sporting) apparel/fashion/shoes or FMCG industry

Job Purpose:

Under the general supervision of the Tasjeel General Manager, the incumbent provides support  in the running of the day to day business through carrying out the administrative requirements and coordination/communication with internal and external parties.


Detailed Description

Principal Accountabilities

 Performs all administrative tasks required by the department.  This would entail:

 - Maintaining of department records and files


- Preparing of internal/external communications such as memos, letter to RTA/Sharjah Police, etc.


- Attends departmental meetings and records the minutes of the meeting


- Liaises with company departments and is the sole point of contact with Tasjeel sites


- Developing and updating of forms required for day to day running of the business e.g.

 *Accident Report Forms

 *Staff Attendance reports


- Preparing of various reports for monitoring of business performance and control e.g.

 *Compilation of forecast/budget reports to present Tasjeel  Operations Manager with activity forecast for the entire network

 *Sales reports from Adaytum – to monitor actual activity levels and for comparison (variance) against budget and previous performance

 *Reviews the department’s action recommendations and highlights if the same is not in line with the auditors’ comments


- Following up and reminding Site Managers and department members about agreed time lines.


- Assists Site Managers in the preparation of the annual budget – explanation of the various formats and data fields required and aids in the reviewing/correcting of erroneous figures


- Assists the Administration and Services Supervisor in driving, developing and enhancing procedures and policies within Tasjeel.


Minimum Requirements:-

 1. Educational Background and Experience:-

   High School Diploma

   At least 2 years experience in similar role.


2. Knowledge skills and abilities:-

   Strong Communication skills

   Strong Negotiation Skills

   Proficiency is Oracle Apps ERP Systems

   Team Player

   Strong knowledge of office administration.

   UAE Driving License
