Our client company, based in Stuttgart (Germany), specializes in the design and construction of lightweight structures integrating architecture and engineering, based of scientific research and minimalistic forms in harmony with the ornamentation of buildings.

 

ROLE

The Assistant Project Manager for the Crowd Management Project provides essential support in ensuring the seamless execution of this interdisciplinary initiative. Working closely with the Project Manager, this individual contributes to the efficient management of project tasks, coordination of resources, and effective communication with stakeholders.

This role focuses on assisting with project planning, execution, monitoring, and stakeholder engagement, while maintaining high standards of quality, compliance, and teamwork. The Assistant Project Manager plays a critical part in supporting the integration of technical disciplines, such as crowd simulation, scheduling, and database management, while helping coordinate efforts among project partners and stakeholders.
Requirements

    Project Support:

    Assist the Project Manager in the successful initiation, planning, execution, monitoring, and closure of the Crowd Management Project.
    Help ensure that project goals are met within scope, schedule, and budget.
    Provide day-to-day project administration support, including task tracking and follow-ups.

    Scope and Objectives:

    Support the Project Manager in collaborating with stakeholders to define project objectives and deliverables.
    Assist in tracking success metrics and performance benchmarks to monitor project progress.

    Comprehensive Planning:

    Contribute to the development of detailed project plans, including schedules, milestones, and risk assessments.
    Help integrate simulation workflows, scheduling, and stakeholder management activities into the overall project framework.

    Stakeholder Engagement:

    Maintain clear communication with project stakeholders, partners, and clients under the guidance of the Project Manager.
    Attend stakeholder and internal meetings, preparing minutes and ensuring action points are addressed.
    Support client meetings and site visits in Makkah, Saudi Arabia, ensuring eligibility to attend in-person meetings under local regulations.
    Help represent the project team in discussions, providing updates and addressing queries as needed.

    Resource Coordination:

    Assist in resource allocation, ensuring personnel, tools, and equipment are effectively utilized.
    Monitor workloads and provide input to avoid resource bottlenecks.

    Quality Assurance:

    Support the implementation of quality control measures to ensure project deliverables meet required standards.
    Help identify areas for improvement and assist in implementing corrective actions.

    Risk Management:

    Assist in identifying potential risks and documenting risk mitigation strategies.
    Help track risk factors throughout the project and escalate issues as necessary.

    Team Support and Coordination:

    Collaborate with the Project Manager to foster a productive and collaborative project environment.
    Support team members by providing clarity on roles, responsibilities, and project expectations.
    Assist in organizing team meetings and ensuring alignment on priorities.

    Documentation and Reporting:

    Assist in maintaining comprehensive project documentation, including technical reports, schedules, meeting minutes, and correspondence.
    Prepare draft progress reports for review by the Project Manager and internal or external stakeholders.

 

  10. Innovation and Process Improvement:

    Support the incorporation of innovative solutions in project workflows to enhance efficiency and outcomes.
    Assist in evaluating project processes and recommending areas for improvement.

 

  11. Client Communication:

    Act as a secondary point of contact for the client, supporting the Project Manager in ensuring their expectations are met.
    Help prepare updates and responses to client inquiries, incorporating feedback into ongoing tasks.

 

  12.Training and Development:

    Support the mentoring and training of junior team members as directed by the Project Manager.
    Assist in organizing knowledge-sharing sessions to promote best practices and lessons learned across the team.
