POSITION:
Job Title: Executive Assistant/Centralized Service Administrator
Location: Dubai, United Arab Emirates
The Opportunity:
We are looking for a highly organized and proactive Executive Assistant / Central Services Administrator to join our team. The successful candidate will handle various administrative and clerical tasks to ensure smooth operations across different departments. Responsibilities include managing purchasing, postage, and shipping, supporting various teams, coordinating travel and events, and welcoming guests at the reception desk.
Responsibilities:
Welcome and direct guests at the reception desk.
Check and order office/pantry supplies as necessary.
Verify and confirm receipts for purchases.
Arrange and manage outgoing shipments, handle post and deliveries, prepare shipping documents, and pack shipments securely.
Track and monitor employee yearly tickets and ensure timely booking.
Coordinate travel and accommodations for employees and manage vendors.
Coordinate internal and external events, managing all logistics.
Perform general clerical tasks such as filing, photocopying, transcribing etc.
Support other departments as needed.
Qualifications:
Proven experience in office coordination or administration.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in MS Office and office equipment.
Ability to handle sensitive information with confidentiality.
Strong attention to detail and problem-solving skills.
Additional Requirements:
Bachelor’s degree in business administration or relevant field preferred.
Certification in Office Management is a plus.
Prior experience in event coordination or travel arrangements is advantageous.
