Admin Assistant, Programme Management, Dubai
Fitch Learning Programme Management team is currently seeking an Admin Assistant based out of our Dubai office.
The role of an Administrations assistant is to provide a welcoming service for clients/delegates and to offer administration support when necessary. In addition, a requirement of this role will be to support the Programme Management team through excellent service delivery by meeting defined objectives to support key clients and delegates, being responsive to requests and requirements and to assist with invoicing and expenses processing for the office.

We’ll Count on You To:
Calendar Management: Overseeing and managing executive calendars, scheduling meetings, and ensuring no overlaps or clashes.
Communication: Acting as a point of contact for internal departments and external stakeholders. This includes answering booking flights, booking hotels, applying for visa’s, directing queries to the appropriate departments, and managing correspondence.
Document Management: Creating, maintaining, and updating important documents, reports, and presentations.
Meeting Coordination: Organizing and setting up meetings, including logistics, sending out invites, preparing materials, and taking minutes during the sessions.
Administrative Support: Assisting Senior Operation Manger with administrative tasks, including but not limited to data entry, filing, and inventory management.
Managing portals, grouping & enrolling delegates.
What You Need to Have:
Previous administration experience in a busy environment
Excellent communication skills
Experience in providing timely and accurate administration support
Work experience in the financial services industry is an advantage, but not essential

Outgoing and confident with a pleasant personality, and enjoy dealing with the public
Maintain a professional appearance at all times
Attention to detail
Be courteous, but firm, when dealing with difficult or impatient clients
Ability to plan, organize, prioritize and complete work on time

Demonstrates concern over client perceptions
Happy working in fast paced demanding environment
