About the role

This role’s primary responsibility is to support the ERP transformation project and Project Management team in delivering on-time, within budget and at desired quality the project strategy, ensuring alignment with corporate objectives and drive the successful delivery of the project for all functions in-scope (Finance, HR, Procurement, etc.) and all group entities in scope. The Project Management Office Administrator will coordinate with internal cross functional teams and the project partners (product partner, implementation partner etc.), manage meetings, monitor, record and report project data and completion status to the project team.
Roles and Responsibilities
  • Organize project meetings, record and summarize action points, coordinate with various stakeholders across the organization and the Project Management team
  • Direct and oversee the day-to-day execution of the project activities ensuring adherence to timelines by monitoring and reporting on teams’ responsibilities
  • Facilitate collaboration and communication among the cross functional teams, external partners to ensure cohesive and on time execution
  • Allocate, optimise and manage project material resources, including laptops, consumables, system access
  • Implement robust project monitoring mechanism for each project phase, make use of reporting frameworks to track performance, identify potential delays and deviations and communicate these to the Project Management team and the Head of Department
  • Support the PM team with administrative activities such as document handling, system access, travel and expenses monitoring and coordination.
  • Keep track of project stakeholders, SMEs, 3rd party representatives to support various project activities, meetings and events coordination including Steering Committee metings, trainings and UAT.
  • Perform other department duties related to his/her position as directed by the Head of the Department

Qualifications
About You
  • University degree in Commerce / Marketing / Administration or in a similar field
  • 3+ years of experience in an Administration role, with a focus on large scale enterprise
  • Comprehensive understanding of ERP solutions, direct experience with leading platforms (SAP, Oracle)
  • Proven experience in collaborating with senior leadership
Preferred
  • Experience in Administration / PA / Marketing
  • Experience with assisting or participating in large projects
  • Experience in working with multiple stakeholders, material resource requirements
Job Specific Skills:

Essential

  • Exceptional written and verbal communication skills (including command of English language), with the ability to craft clear, concise and compelling messages tailored to diverse audiences
  • Proficiency in utilising various Project Management tools and techniques including digital platforms
Preferred
  • Experience in Administration / PA / Marketing
  • Experience with assisting or participating in large projects
  • Experience in working with multiple stakeholders, material resource
