Administrative Assistant
Responsible for providing administrative support to the department, managing and assisting in activities that relate to facilitating the flow of work in the department. Also responsible for performing any other work as assigned and conducting administrative tasks in support of the department.
Key Responsibilities of the Role:
Co-ordinates day-to-day activities and is responsible for managing telephone calls.
Liaises with the facility staff on behalf of the Manager for daily operations.
Manages office equipment, including postage machines, printers, fax, photocopier, conference phone etc. are in working condition.
Ensures office supplies are adequately maintained.
Provides assistance for activities such as coordination between various departments, reviewing reports, conducting studies and correspondence.
Maintains internal schedules.
Facilitates meeting and appointment participation.
Coordinates and provides complete administrative support for meetings.
Undertakes follow-up actions for meeting coordination.
Arranges for travel and accommodations for team members, as required.
Arranges a proper filing system for correspondences received or sent from the Manager’s office.
Develops, modifies, and maintains any other databases related to own departmental activities as assigned.
Prepares worksheets and charts as directed.
Responds to verbal and written inquiries in a timely manner.
Familiarizes new post holders with the running of the department to ensure that they gain competency in the duties and responsibilities of their role.
Participates in team efforts as required from time to time.
Collaborates with other members of the team to carry out work smoothly.
Greets and directs visitors, resolves routine administrative problems and answers inquiries concerning activities and operations of department/division; accepts, screens, and routes telephone calls; maintains log of inquiries as required.
Education Required:
Bachelor Degree.
Experience Required:
1-2 years of relevant experience in a large healthcare facility.
Additional Requirements:
Proficiency in the English language.
MS Office and computer proficiency.
Proficiency in the Arabic Language.
Proven work experience as an administrative assistant.
Hands on experience with medical software and MS Office.
Knowledge of healthcare operations.
Familiarity with medical and insurance legislation.
Excellent organizational and multitasking skills.
Customer-oriented communication skills.
