Job Description:
Parsons is looking for an amazingly talented Document Controller to join our team!
POSITION OVERVIEW:
Responsibility for Parsons’s Document Controlling for Qiddiya Infrastructure Delivery Partner (QIDP). Responsible and accountable for ensuring that all work meets Qiddiya Investment Company (QIC) requirements in coordination with the works completed by other delivery partners. QIC is providing strategic direction for all partners in the three-way partnership with other delivery partners on a city-wide basis. Reports directly to the Document Control Manager.
SPECIFIC RESPONSIBILITIES:
Responsible for coordinating all departments in order to assure that all documents are kept in the right place, controlled access and easily identifiable.
Ensure that all documents are well checked and submitted on time prior to the documents’ submission due date
Maintain confidentiality around sensitive documentation.
Distribute program-related copies to internal teams
File documents in physical and digital records
Create templates for future use (if not available).
Retrieve files as requested by employees and clients
Manage the flow of documentation within the program
Make sure that all documents have no errors in file names, submissions, etc. prior to send to some departments if requested.
Assist in the preparation of procedure, system package for document controls.
Follow-up pending reviews, approval and response.
Maintain trackers and registers required by the project.
Performing other responsibilities associated with this position as may be appropriate.
Ensures adherence to all corporate, contractual, ethics and safety standards, policies, and procedures.
PREFERRED EDUCATION/EXPERIENCE:
Degree in Business Administration/Management or related discipline with minimum 4 years’ experience in mega construction projects, specifically strong experience across city-wide programs.
Advantageous to have extensive experience of significant third-party stakeholder management, including statutory authorities in obtaining consents, permits and permissions.
Strong communication skills in English.
SKILLS/COMPETENCIES:
Ability to enforce controlled processes and practices for the creation, review, modification, issuance, distribution and accessibility of documents.
Proven experience of working within complex construction environment.
Ability to work in and assist other team members. Ability to follow through. Ability to clearly deliver work instructions in a complex stakeholder environment.
Ability to work in a matrix organization (dual reporting). Ability to interact with an influence senior-level management. Ability to consult, motivate, and negotiate effectively with client groups, co-workers, employees, vendors, and contractors.
Must function effectively under time constraints, schedule workload to meet deadlines, and have the ability to prioritize.
Ability to manage and work in a team, deliver objectives and targets.
Strong Contractor Management skills.
Project Management Skills.
Well experience with MS Office and Aconex.
