The Role
The Facilities Management Coordinator will be working closely with the Facilities Manager to ensure the facility needs of all the Properties in managed portfolio are met and maintained in a safe and efficient manner and that daily custodial tasks are completed. The candidate shall be responsible for various tasks which shall be assigned as below.
Key Responsibilities
Assist the Facilities Management team on logging complaints and escalations
Keep daily track on AMC contracts across the portfolio
Keep daily track on HSE compliance documentation for buildings across the portfolio
Keep daily track of move in and move out tracker
Act as initial point of contact for queries pertaining to Facility Management
Receive, log, verify and maintain track of supplier invoices
Invoice logging on accounting system once approved by FM manager
Manage all aspects of facility activities and cover duties on absence of a team member
Co-ordinating maintenance activities with service providers to ensure prompt and timely execution of required works as per quality and standards required
Arranging competitive tenders for scope of work requested by FM team
Participate in the selection of contract services, vendor negotiation of service agreements and evaluate bidder tender proposal documents
Monitors a close working relationship with all the vendors
Maintain the supplier list and documentation up to date
Skills, Knowledge and Experience
Diploma/Graduate of any discipline
Minimum of 2 years’ experience in a similar role with a property/facility management company
Excellent skills in MS Office (i.e. Outlook, Excel, PowerPoint and Word)
Knowledge of MEP & Civil maintenance jobs is advantageous
Knowledge of local guidelines/compliance
Strong language and communication skills, both written and oral
Flexibility to work outside of working hours in case of requirement
Ability to handle conflicts or challenging situations confidently
A team player
