Account Receivables Executive, APM Terminals, Hidd, Qatar

Executes day to day processing of transactions within defined standard
operating procedures such as, e.g. general accounting and/or accounts
payable or receivable.
Rule and Knowledge based processes

PRINCIPAL ACCOUNTABILITIES:

Receives completed pre-billing advice and job order from Operations and Marine Departments verifies accuracy and completeness of all required information including current pricing, extensions, shipping and handling charges. Get clarifications as appropriate.
Ensure timely invoicing of all Private Jetties including MSP and BAPCO calls activities and all Naval vessels calling KBSP.
Ensure correct customer and vessel related data, counts and dimensions, volumes and services provided, tariff codes, ledger accounts and dimensions, and proper text describing services when creating the invoices.
Sends all the invoices to the correct customer immediately after they get posted.
Arrange to collect Quarterly Statement of Accounts from Credit Customer. Reconcile and facilitate rectification of un-reconciled items. Handle any queries regarding billing.
Prints monthly statements and sends to customers. Prints, verifies and maintains accounts receivable invoice records, open and aging reports and journals.
Initiate weekly Receivables meeting with Account Receivables manager, addressing all the disputes and any concerns during the week.
Ensure constant follow-up and collection of outstanding invoices from customers within credit period. No customer shall be allowed to exceed credit limit.
Unpaid balances, receivable over dues and problems in recoveries shall be immediately reported to Finance Manager.
Monitor Customer Bank Guarantees and credit Agreements. Ensure at all times Valid Guarantee and Credit Agreement in place. Communications must take place with all customers for timely renewals.
Arrange to prepare Credit memos as Applicable for Authorization in the accounting system by Finance manager.
Prepare monthly report of credit notes issued with full supporting documentation and obtain CFO approval/sign off.
Ensures collections (accounts receivables) from customers are appropriately recorded against invoices and credits. Minimize un-allocated credits.
On a Monthly basis, completeness check is done to ensure company is invoicing for all volumes, and services being provided to customers for all operations, and keep record of the reconciliation for each month.
Prepares the DSO on weekly basis.
Reconcile the debtors ledgers on a monthly basis between the billing system and the financial system.
Migrate all the transactions for credit customers from the billing to the financial system on weekly basis.
Performs other related duties as required.

REPORTING AND SCOPE

The position reports directly to the AR Manager.
The position scope is domestic.

CRITICAL QUALIFICATIONS/SKILLS/EXPERIENCE

Necessary to perform the requirements of the position:

Requires a college degree in business or accounting, or related discipline
Requires at least three to five years of progressively more responsible general accounting and finance experience, preferably in the private sector, and in transportation or related industry.
Requires a general understanding of accounting principles and transactions.
Requires a thorough knowledge and understanding of revenue and banking processes and procedures.
Requires the ability to interpret applicable company policies and procedures, applying them consistently and without discrimination.
Must be able to handle company information with confidentiality and discretion.
