THE POSITION 

Team Assistant based in Dubai will support and assist in the day-to-day Africa Animal Health activities with the objective of increasing productivity growth and in compliance with Boehringer Ingelheim's (BI) Corporate  strategy, whilst adhering to best practice principles and BI's standard operational procedures (SOPs). 

Tasks & responsibilities 

1) Event management:

- Coordinates and implements regional department/business events (i.e. review meetings, corporate delegations etc) in coordination with HQ Teams and Clusters.
- Designs and distributes the invitation, prepares the briefing documents, negotiates and secures a venue, organizes hotel, travel and visa for delegates and monitors the budget.
- Supports and monitors the agenda and entertainment program.
- Arrange the promotion material.
- Handles requests on the day of the event to ensure that all runs smoothly.
- Conducts post event evaluation and event cost analysis in coordination with the Finance department by gathering finance data from other countries and reconciling it with approved budget.

2) Administration and coordination:

- Supports the AH team in filing, meeting arrangements and other administrative tasks as required. 
- Supports the AH team in travel arrangements and travel logistics eg. hotel, visas stc.
- Assumes independent responsibility for special projects. 
- Meet and assist guests
- Follow up on the general invoices payment and ensure the follow up with finance and archiving.

3) Payment Management:

- Raising POs - PO tracker
- Invoice processing 
- Vendor on-boarding
- Budget Tracking
- Provisioning
- LastMile (AFR)

4) Documentation and Platform maintenance:

 - CORA - archiving documents and event agreements + CorA dashboard maintenance
 - Docusign - eSigning
 - IDEA4Gen
 - DigiEvent Admin

Requirements 

Bachelors degree 
Minimum 6 years of experience in a similar role
Basic understanding of finance topics
Knowledge of MS Office tools
Excellent organizational skills
Proactive and solution oriented
Independent working approach
Fluency in English
