HR Advisor, ACS International School, Qatar


Recruitment & onboarding

·      Perform all recruiting, hiring and on boarding processes including: advertising, sourcing, screening, interviewing, testing, short listing, negotiating, offering, on boarding, induction.

·      Liaise with the marketing team in Doha and the UK for recruitment related activities.

·      Liaise and coordinate with reputable recruitment agencies/ portals for sourcing the right candidates ensuring that costs are minimized where possible.

·      To ensure the keep-up and maintenance of a CV database to facilitate the recruitment process.

·      Undertake all required pre-employment checks including reference, background, qualification, and advise the line managers accordingly as and when required.

·      Liaise/Meet the new joiners and follow-up on all related matters during post-selection and pre-employment period.

·      Ensure that all HR and Recruitment policies and procedures are safeguarded and strictly adhered to.

·      Participate in required recruitment related Job fairs and such.

 

Payroll:

·      Monthly preparation of ACS Doha by ensuring all the data is correct.

·      Ensure the accurate communication of information for the purposes of Doha payroll each month ensuring all required paperwork is completed and that information such as starters/leavers, changes to salary, benefits etc. are made, ensuring effective liaison with payroll staff in UK

·      To generate and update the following month-end reports: Annual Leave, Sick Leave, Unpaid Leave, Maternity Leave , Overtime, etc…

·      To post bank accounts in the Payroll sheet and ensure all employees are paid via a current bank account.

·      Handle employee payroll queries, issues and feedback to employees in a timely manner.

·      Prepare Final Settlement calculation for Leavers as required by ensuring accurate calculations are made and relevant documents are received (Exit Checklist, Discharge certificate etc...).

·      Oversee procedures related to employee resignations and ensure final settlement and entitlements are made.

·      Ensure any payroll requests related to Salary advance, relocation benefits, education benefits, etc. And check and in accordance with policies and procedures.

·      Manually check payroll details against supporting documents for transactions including deductions, additions, payables, leaves, etc.

·      Meet payroll deadlines and ensure accuracy is maintained by end of the month.

·      Undertake research into local compensation levels and benefit provision if required.  Liaise with central HR team for guidance on salaries and benefit packages.

·      Counter checking and signing of all salary related letter and certificates issued to employees.

 

Immigration & MOE:

·      Manage all immigration, visa and work-permit related activities for all employees by monitoring the HR coordinator day to day immigration related activities.

·      Handle the coordination between MOE and HR.

·      Submit the staff/new joiners’ applications for MOE approval and maintain record of the applications and the process.

 

HR:

·      Oversee probation reviews of all employees in accordance with agreed guidelines.

·      Assist the HR Manager in writing and continually reviewing HR policies, procedures, practices, personnel administration systems, updating and / or recommending improvements as appropriate to management’s requirements.

·      Produce regular, agreed reports and documentation to enable effective analysis of organisation

·      Ensures school’s compliance with employment law requirements by keeping abreast of impending legislative changes, sharing information with the rest of the HR team and communicating as necessary to key stakeholders

·      Ensure all ACS Doha HR processes and practices are in line with Qatar Labor Law, ACS Policies and consistent with the rest of the organisation where possible.

·      Handle HR related staff events and departmental functions.

·      Undertake any other duties as required.

 

Purchase Orders:

 ·      Handle HR related purchase orders from receiving the invoice up to making sure the payment Is made.

 

KNOWLEDGE, SKILLS & EXPERIENCE REQUIRED

Experience in a busy HR team in a multi-functional, customer focused environment
Good generalist HR knowledge, ideally gained in the Middle East
Able to demonstrate understanding of data flow and reporting
Strong Excel skills
Fluent English and Arabic speaker

·               Team player with excellent customer service and relationship building skills

·               High accuracy and good planning/organisation skills essential

·               Accurate, detailed and able to prioritise and manage processes at the right pace for the organisation

·               Adaptability to work within an opening environment where processes may not be set up or clear or may need developing

·               Initiative to identify where areas can be approved and to make changes as appropriate

·               Able to work with external suppliers and manage relationships against agreed deadlines

WORKING ENVIRONMENT:

Based at ACS Doha with regular travel to other schools and organisations in the Qatar/Gulf region.  Working 5 out of 7 days with meetings of families scheduled as required on Fridays or Saturdays and meetings/marketing events in the evening.
