Responsibilities

Support to the Project Directors/Managers - Support in all aspects of the project, including planning, execution and delivery. Managing correspondence, purchase requests, collating information for Project Reviews, monitoring progress and undertaking project administration.

Planner Activities - Planning support to Project and Commercial Managers; Site leaders and others as required.

Administrative Support - Support the Senior Management Team when requested by members based in the Riyadh Office 

Project Office Administration - Responsibilities include managing the project office; reception of visitors, , dealing with office equipment and supplies etc.

Depot/Site Administration: Responsibilities include managing the depot equipment and supplies. 

The Projects Administrator also undertakes the following activities:

Travel Coordination – Obtain the travel approvals as per Alstom’s process, coordinate travel for project team members and make the necessary reservations according to Alstom’s policies.

Utilities Management: Manage the utilities related to the office, sites, and employees such as SEC, STC, etc.

Procurement and Logistics: Approve final payment for suppliers and check goods received. Monitor POs validity and issue PRs accordingly (SAP), as well as approve G-Links. In addition, provide support to the logistics team. 

Human Resources: Support HR in administrative work such as employment letters, invitation letters, create and update profiles, issue POs for employees benefits, attesting letters from the Chamber of Commerce, etc.

Finance: Management of Petty Cash including track spending, review invoices, prepare monthly reports, request replenishment, etc.
